Congratulations on having your work accepted for exhibition at PhotoPlace Gallery.
Please read the following instructions carefully.
Printing Please provide high quality prints
on paper (no canvas or other non-paper surfaces, please, with the exception of alternative process work). If
you do not do your own printing, PhotoPlace Gallery offers to make an exhibition print on archival paper sized to our mats
from your large jpeg or tiff file. For details click the menu button for "PhotoPlace Print
Service."
Framing
All work MUST be framed and protected with glass or plexiglass.
Frames must be wired for hanging. We cannot hang work with magnets or sawtooth hangers.
Optional Free Matting and Framing We will mat and frame works
for artists free of charge for the duration of the exhibition, provided photographs are printed to sizes that will fit our
pre-cut mats. Mats will overlap your images by about a half-inch on each side.
Please do not send prints on paper larger than 16 x 20. If your edges are important to you, it would
be best if you mat your print yourself. All mats should be white or off-white, four-ply matboard, with images securely
fastened to the backing board with plastic corners or linen tape. If you choose to send your work already matted
and framed, please use a thin black metal frame and a white or cream mat.
Our frames are 11 x 14 and 16 x 20 metal frames. Mats are white or cream archival mats in the following standard sizes:
To use our 11 x 14 in. frames with a mat with a window
opening of 7.5 x 9.5 in., please make your print image 8 x 10 in. To use our 11 x 14 in. frames with a mat
with a window opening of 7 x 10 in., please make your print image 7.5 x 10.5 in.
To
use our 16 x 20 in. frames with a square mat with a window opening of 11.5 x 11.5 in., please make your print image 12 x 12
in.
To use our 16 x 20 in. frames with a mat with a window opening of 10.5 x 13.5 in., please
make your print 11 x 14 in.
To use our 16 x 20 in. frames with a mat with a window opening of 10 x
15 in., please make your print 10.5 x 15.5 in.
Some cropping due to mat overlap will occur.
If a photograph cannot be printed to our mat sizes, the photographer is responsible for matting his or her own work.
If work does not fit in 11 x 14 or 16 x 20 in. frames, the photographer is responsible for framing his or her own
work, preferably in a black frame with a white or cream mat. If you plan to send a photograph that exceeds 16 x 20 inches, please
contact us via e-mail to discuss the size of your frame. Our space is limited and we cannot normally hang
more than a few frames exceeding 20 inches wide.
Shipping Please pack your photographs very carefully for
shipping. We will use the same packing materials to return your prints to you, so please make sure they are sturdy.
Ship your photo FLAT, using several layers of foamcore or cardboard at least. No mailing tubes or styrofoam
peanuts, please. A padded envelope or a cardboard mailer is not enough to prevent your photograph from getting
banged up. PhotoPlace Gallery / VPW IS NOT RESPONSIBLE FOR DAMAGES TO WORK RESULTING
FROM INADEQUATE PACKING FOR SHIPMENT.
It
is essential that you include return shipping with your work. Work should include return postage and a
mailing label. UPS and FedEx return labels must have pre-paid bar codes or account numbers (note: we cannot accept
credit card numbers for return shipping). Work without return shipping will not be returned. If you do
not wish to pay for return shipping, you may donate your print to PhotoPlace Gallery for fund-raisising or donation.

Be sure to include the contributor's form with your photograph. If you are local and would prefer to drop your work off in person, please e-mail us to set up a
time to do so at the Gallery. Hours: Tues-Fri, 11-4, Sat. 10-3 or by appointment. All hand-delivered work
must be picked up during the week after the exhibition closes.
We will handle your work with utmost care.
However, PhotoPlace Gallery is not responsible for any damages to work while in our possession. Especially valuable
work should be insured by the artist.
